Service Establishment of the Leases and Concessions archive
We provide a setup and start-up service for the BabylonWeb Leasing and Concessions module.Our service is mainly structured in the following phases:
- Verification of the documentation and data already available to the Entity;
- Creation of the archive of Rental Objects (with BabylonWeb Inventario Beni it is sufficient to link the already existing Asset Sheets);
- Creation of the archive of Contracts with fixed and/or social rent;
- Creation of the archive of Concessions for Public Land Occupation/Markets and Fairs;
- Creation of the archive of Passive Contracts;
- Creation of the archive of rental objects occupied “without title”;
- Development of the billing plan and connection to the related assessments;
- Customization of all communication templates (invoices, cover letters, ISTAT adjustment letters, reminder letters, etc.);
- Definition of the collection method (pagoPA, Freccia, Postel, postal slips, etc.).
Service Support for “back office” management of Leases and Concessions
We provide external support services for the “back office” management of leases and concessions, with the goal of keeping management choices and front office activities under the responsibility of the Entity, while minimizing subsequent administrative operations. This is carried out in constant collaboration with the Entity’s representatives and using the same IT system.
This service includes ordinary management activities such as:
- Management and possible modification of existing contracts;
- Periodic ISTAT updates;
- Preparation of monthly invoices related to rental fees;
- Delivery of invoices to tenants via Poste Italiane;
- Acquisition of payment return flows (depending on the chosen payment method);
- Accounting and reporting of rental income and monthly transmission of statements to the Entity’s Financial Department;
- Verification of defaulting tenants;
- Periodic sending of reminder letters to defaulting tenants;
- Definition of possible repayment plans for defaulting tenants;
- Preparation of the list of tenants requiring debt recovery procedures, through extrajudicial and compulsory actions.
Software BabylonWeb Locazioni Concessioni

The Tool BabylonWeb Locazioni Concessioni is a module of the BabylonWeb suite with a high level of technical and regulatory analysis, enabling the management of any type of lease, from the simplest to the most complex.
It interacts with the BabylonWeb Inventario Beni archive, from which it can directly import the relevant Objects, and also allows free entry for the creation of positions not owned by the Entity (passive leases, subleases, etc.). The BabylonWeb Locazioni Concessioni module also integrates with the main financial accounting software used by Public Entities.
Along with the license, we provide the Entity with:
- initial archive setup and start-up;
- training of the Entity’s staff on basic use of the procedure;
- support and maintenance of the platform for the entire duration of the service and until the complete periodic update of the inventory.
Among the module’s features, particular importance is given to:
- free creation of contract types (e.g. concessions without expiry with defined or undefined rent, fixed-term lease contracts with or without renewals, social contracts with calculated rent, etc.);
- possibility to associate accessory expenses to the contract (in addition to the rent) with ISTAT updates;
- each contractual element includes one or more rental objects, a holder, a contact person, a debtor, and an installment frequency (monthly, bimonthly, quarterly, four-monthly, half-yearly, yearly) with an automatically generated schedule based on calendar or commercial days;
- mass or single management of possible ISTAT revaluations, both annual and biennial, starting from any date;
- individual management of fixed quota rent changes;
- management of increasing rents;
- management (with customizable settings for territorial areas) of social rents and all statistical functions needed to set calculation parameters for both rent and deductions;
- calculation of social rent and configuration of an income revaluation table;
- management of every act related to the contractual element (surface, thousandths, and fractional occupation time);
- creation of rooms for each object with different types of measurements for rent calculation algorithms;
- creation and management of Millemial Complexes;
